Oregon Wild Job Posting – Office Manager

The Office Manager is responsible for maintaining smooth, day-to-day operations of the Oregon Wild Portland office. This position will assist with a variety of administrative and clerical tasks related to development, community outreach, and administrative functions.

The ideal fit for this position will have a positive demeanor and outgoing personality; strong interpersonal communication skills; and the ability to take the initiative and proactively solve problems as they arise. The Office Manager is an essential member of the Oregon Wild team and will need to juggle competing tasks while working directly with multiple co-workers.

This is a part time, 20-hour per week position based in Portland. Schedule is flexible and may vary with some night and weekend work. Salary range is $15 to $20 per hour depending on experience. This position will report to the Executive Director.

General responsibilities:

Office Management – 50%

  • Sorting and distributing office mail
  • Greeting visitors and answering main phone line
  • Inventory and restock office supplies as needed (coordinating with Membership Manager on development-specific supplies stored with printers)
  • Maintain office and other equipment such as postage meter, copy machine, printers, phones, fax and irrigation system. This includes coordinating repairs with vendors, purchasing supplies and parts, and maintaining accurate inventory.
  • Track bulk mailing accounts with USPS
  • Schedule furnace maintenance, pest control, other maintenance as necessary
  • Act as office Safety Committee Coordinator. Coordinate with fire marshal to ensure that the building meets all appropriate codes. Complete monthly fire extinguisher checks. Maintain and update list of power/water/gas shut off valves and controls in the building and on the grounds. Maintain office emergency kit.
  • Manage contract janitorial service and troubleshoot any problems as necessary
  • Post ads for office rentals as necessary
  • Manage building and landscape maintenance

Community Outreach – 30%

  • Manage community outreach and tabling schedule. Seek out and reserve opportunities at street fairs, community festivals, etc.
  • Staff community outreach events and recruit volunteers to support outreach efforts.
  • Maintain up-to-date outreach supplies including displays, interactive materials, merchandise, etc
  • Coordinate with program staff on action items to be presented at outreach tabling.
  • Upload sign-up lists to e-mail alert list from tabling and other events.

Development Support – 20%

  • Work with Development Director and Membership Manager to solicit renewal gifts via telephone outreach
  • Coordinate with Membership Manager to ensure strong membership recruitment component for all outreach tabling.
  • Work with Development Director, Executive Director, staff, and volunteers to provide event support for large scale fundraising events
  • Other fundraising support duties as assigned
